  • How do we exchange documents and information?
There are several ways that we can exchange documents and information. Bookkeeping Data For bookkeeping clients, we prefer that you create and provide read-only logins for our firm to directly access your relevant bank, credit, investment, and payment accounts. This is a standard bookkeeping practice that allows our firm to download account statements and research transactions independently and securely, increasing accuracy and efficiency. Please note that our firm must have its own designated login and when available, the two-factor authentication must route to our business phone and/or email address. If you choose to provide documents directly to our firm, you must do so within one business day of the close of the period (i.e., the month, quarter, or yearend for which we are providing services) or your statement generation date, whichever is later. Note that additional fees will apply if you do not subscribe to the bank data feeds within the accounting software. There is no additional fee if you manually provide documents solely for support purposes. Paper Documents You may provide copies of paper documents as follows: If you are a local client, you may schedule an appointment to deliver paper documents to our office. You can send paper documents by regular mail (we do not recommend sending originals by mail unless absolutely necessary). As we operate in a paperless environment, we will scan your paper documents and either return them to you or securely shred them at no cost to you. Additional fees may apply if you have documents that require cataloging, receipts that cannot be scanned using an automatic feeder or for large jobs that cannot be completed during your office visit. Email Email is suitable for most day-to-day communications, including routine questions, etc. If sending files via email with personally identifiable information and/or sensitive financial information, we recommend that you send encrypted files or link to a secure file hosting service, such as Dropbox or Google Drive. Please transmit the password separately (new email, phone call or text) when sending encrypted files to limit the opportunity for unintended access should the email be misdirected. Electronic File Transfer We can provide you with a secure link to our file hosting services on: Dropbox Google Drive This allows us to exchange files without sending email attachments. Secure Applications Depending on what services and applications we use to deliver your services, some of the applications may have built-in secure file transfer capabilities. When you engage our firm, we will describe in detail how we will communicate based on the services selected.
